We negotiate and secure your room block, then read the contract line by line so attrition clauses and cut-off dates never become your problem. We research from every city on your guest list. We coordinate arrivals, private transfers and ground transportation for the entire party. And we design the multi-day celebration around the ceremony, from the welcome dinner to the off-property experiences your guests will still be talking about years from now.
Your guests get a dedicated advisor for all their wedding related questions and one place to book, to cut down on confusion. You get to be present at your wedding, while we handle the travel related details.

Whether you are marrying with two witnesses or bringing two hundred people across an ocean, our concierge service handles all travel elements with precision and care.
Each wedding is quoted individually, based on guest count, the number of properties involved, and how much coordination your celebration requires. Our Concierge & Travel Management Fee covers resort and venue sourcing, room block negotiation and contract review, your dedicated guest booking portal, flight research for you and your guests, ground transportation, and support before and through the wedding week. It is separate from what you and your guests spend on the travel and wedding celebration itself.
The couples investment ranges reflect current market pricing and vary widely by destination. Meaning, Mexico and the Caribbean sit at the lower end of the cost range. Where as destinations like Italy, Greece, and the French Riviera commonly run two to three times higher.
We review your budget and vision on our consultation call and share the quote of cost to retain the Bespoke team for concierge service and travel management.

How far in advance should I begin the planning process?
We recommend engaging us twelve to eighteen months before your wedding date, and eighteen to twenty four months for a full property buyout or a peak season weekend.
As your travel concierge, we manage the resort or villa contract, your guest room block and negotiated rates, group air, transfers, and all pre and post wedding travel. Room blocks are contracted twelve to eighteen months out, most resorts will not hold a wedding date until the block is signed, and your guests need save the dates ten to twelve months in advance to request time off and renew passports.
Shorter timelines are possible and we take them on regularly. We will tell you honestly what remains available before you commit.
What does the planning experience look like from start to finish?
It begins with a private consultation to understand your vision, your guest list, and how you want the celebration to feel. From there we source and negotiate with resorts on your behalf, confirming that both the group and wedding departments can hold your date before we bring you a recommendation.
Once your resort is selected, we contract your room block and set up the open the bookings to your guests through a dedicated booking portal, where they reserve rooms, with the option to pay in full or through a deposit structure with a payment plan.
Through the months to follow, we manage the room block, track deposits and payment deadlines, monitor attrition, and keep your rooming list current. Roughly 60 to 90 days out we finalize arrivals, transfers, off property experiences, welcome events, and coordinate with your wedding planner so all travel elements align with planned wedding events.
During the wedding week we remain available to you and your guests to manage the unexpected, so you can remain present and celebrate.
How does your team handle privacy and discretion?
With the highest level of care. We understand that many of our clients are public figures, executives, or individuals who value their privacy. Client identities, travel details, and personal preferences are never shared publicly or used in marketing without explicit written permission. Discretion is not a mere policy, it is embedded in how we operate.
What size wedding should I have?

How does Bespoke Bookings Co. approach pricing?
We charge one flat management fee, paid by the couple, for end to end travel management of your wedding week. The fee is based on your guest count, trip complexity, and duration of the celebration.
What the fee covers: resort and venue sourcing, room block negotiation and contract review, a dedicated guest booking portal, RSVP and rooming list management, attrition and payment deadline oversight, guest questions handled by our team (honoring global timezones), and logistics on the ground.
What your guests pay: their own rooms and flights, booked at the negotiated rates. Your guests are never charged a planning fee to book through us.
What is separate: Your ceremony and reception stay separate. Those are handled by the resort’s on-site wedding coordinator through a contract secured directly with the property, even at an all-inclusive. Their assigned wedding planner/coordinator runs point on your wedding day. While Bespoke owns all travel related elements of the celebration and serve as a direct point of contract for the bride, groom, bridal party and guests.
How does Bespoke Bookings Co. accept new clients?
We welcome inquiries from prospective clients and offer complimentary consultations to determine whether there is a mutual fit. We are selective about who we take on, not out of exclusivity for its own sake, but because maintaining a protected portfolio of clients is the only way to deliver the level of concierge design, support, and end-to-end trip management our established clients have come to expect. Can Bespoke Bookings Co. arrange private aviation?
Yes. For clients who prefer to travel by private jet or charter, we coordinate private aviation as part of your overall itinerary. This includes sourcing aircraft, managing ground transfers between tarmac and property, and ensuring your flight schedule aligns seamlessly with every other element of your journey. Private aviation is available for both domestic and international travel.
