How do you handle a trip when family members are departing from different cities?
We research the best flight paths and timing for each departure city and present all options clearly in the family proposal, with aligned arrival times where possible. Each household books their own flights directly using their preferred airline, loyalty points, or travel credits. We handle the research and coordination so the group lands together without anyone scrambling to figure it out on their own. If a family member or household would like to have flight tickets secured on their behalf, we can certainly do so. (booking fee applies)
How does payment work for a multigenerational family trip?
Payment structure depends on the type of booking. For hotel room blocks, one card is used to secure the block with an initial deposit, which is often refundable depending on the property’s terms and conditions. Once the block is confirmed, each household or individual family member can often pay their own room balance directly. For excursions and ground transportation, one form of payment is typically used to secure the booking unless otherwise noted. For private villas and homes, one form of payment is required for both the deposit and final balance. Your advisor will walk through all payment options, deposit timelines, and terms and conditions in detail during the proposal phase so your family has full clarity before anything is confirmed.
What does the planning process look like from start to finish?
It begins with a complimentary consultation with the family organizer to understand the vision, the occasion, and what matters most to the group. From there you will receive a clear summary of the cost associated with having your family’s trip professionally managed. Once confirmed, we collect contact information for each household so every traveler can complete an individual trip preference form. This allows your advisor to design an itinerary that reflects each person’s personality, pace, and preferences rather than a one-size-fits-all plan. The entire family then receives access to a dedicated client portal with the trip timeline, important reminders, entry requirements for international travel, and key details leading up to departure. One week before you leave, the family is welcome to join a live conference or virtual call with your advisor to walk through the full itinerary, ask any remaining questions, and depart feeling completely prepared.
What if family members have different budgets within the group
This is one of the most common dynamics we navigate in multigenerational family travel and we handle it with complete discretion. During the planning process your advisor works with the group organizer to establish a framework that works across different budget levels within the family. Whether that means some households are in a villa suite and others are in standard rooms, or some family members are joining certain excursions and skipping others, we design the trip so everyone participates at the level that works for them without anyone feeling left out or singled out.
Can you accommodate family members with mobility limitations or special health considerations?
Yes. We evaluate every property and excursion with the full group in mind including any mobility considerations, dietary needs, or health factors that are relevant to the trip. Step-free access, elevator availability, accessible room configurations, proximity to medical facilities, and excursion pacing are all factored into our recommendations. Your advisor discusses these specifics during the consultation so nothing is assumed and nothing is overlooked.
What happens if something goes wrong during the trip?
We remain available and are actively monitoring throughout your family’s journey. If a flight is disrupted, a reservation needs adjusting, a family member has a medical concern, or anything unexpected comes up, your advisor and our on-the-ground partners coordinate and resolve in real time. Your family does not need to figure out who to call or what to do. That is what we are there for. Families traveling with us never navigate a disruption alone.
