We negotiate and secure your room block, then read the contract line by line so attrition clauses and cut-off dates never become your problem. We research from every city on your guest list. We coordinate arrivals, private transfers and ground transportation for the entire party and we can coordinate and book private aviation.
We design the multi-day celebration around the ceremony, from the welcome dinner to the off-property experiences your guests will still be talking about years from now.
Your guests get a dedicated advisor for all their wedding related questions and one place to book, to cut down on confusion. You get to be present at your wedding, while we handle the travel related details.

Bespoke manages the group operation for your 20 to 50 guests. This is the size where a formal room block begins. We negotiate and contract your block directly with the property, build a dedicated booking portal loaded with your dates and negotiated rates, research flights from every city your guests depart from, and arrange private transfers across staggered arrival days.
By this size you also have more than one event. From rooming lists, payment deadlines, and attrition oversight to welcome dinners, day-after brunches, and entry requirements for a guest list spanning various locations, we handle all travel logistics.

FULL-SCALE CELEBRATION & BUYOUTS
A large-scale destination wedding should feel like a celebration of your love abroad and a special experience for your guests.
Bespoke orchestrates seamless travel management for your entire guest list. With a full-scale celebration, you are likely working across more than one property or taking one entirely. Buyouts are worth pricing earlier than most couples expect, because they are set by the property’s room count rather than your guest list, and a thirty-room boutique hotel can be bought out by a wedding of sixty. Group air contracts also open up once ten or more guests fly the same route, which can hold fares months before anyone books.
The bigger shift is who your guests call. Without a travel team, every question about flights, room categories, payment deadlines, and airport pickups goes to the couple, and it does not stop until the last person is home. We extend concierge level support to all of your guests so you can focus on the celebration of your love story.
We contract and manage the blocks, run the booking portal, research and hold air, coordinate transfers across a full arrivals schedule, and we are readily available to you and your guests before, during, and after the wedding week in whatever time zone your guests are in.

How far in advance should I begin the planning process?
We recommend engaging us twelve to eighteen months before your wedding date, and eighteen to twenty four months for a full property buyout or a peak season weekend.
As your travel concierge, we manage the resort or villa contract, your guest room block and negotiated rates, group air, transfers, and all pre and post wedding travel. Room blocks are contracted twelve to eighteen months out; most resorts will not hold a wedding date until the block is signed, and your guests need save the dates ten to twelve months in advance to request time off and renew passports.
Shorter timelines are possible and we take them on regularly. We will tell you honestly what remains available before you commit.
What does the planning experience look like from start to finish?
It begins with a private consultation to understand your vision, your guest list, and how you want the celebration to feel. From there we source and negotiate with resorts on your behalf, confirming that both the group and wedding departments can hold your date before we bring you a recommendation.
Once your resort is selected, we contract your room block and open the bookings to your guests through a dedicated booking portal, where they reserve rooms, with the option to pay in full or through a deposit structure with a payment plan.
Through the months to follow, we manage the room block, track deposits and payment deadlines, monitor attrition, and keep your rooming list current. Roughly 60 to 90 days out we finalize arrivals, transfers, off property experiences, welcome events, and we coordinate with your wedding planner, so all travel elements align with planned wedding events.
During the wedding week we remain available to you and your guests to manage the unexpected, so you can remain present and celebrate.
How does your team handle privacy and discretion?
With the highest level of care. We understand that many of our clients are public figures, executives, or individuals who value their privacy. Client identities, travel details, and personal preferences are never shared publicly or used in marketing without explicit written permission. Discretion is not a mere policy; it is embedded in how we operate.

How does Bespoke Bookings Co. approach pricing?
Every wedding is quoted individually. Our Concierge & Travel Management Fee is one flat fee, paid by the couple, built from your guest count, the number of properties involved, the length of your celebration, and how much coordination the week requires. We review your budget and vision on the consultation call and send your quote in writing before any work begins.
What your fee covers. Sourcing and contracting your accommodations, room block negotiation and contract review, your dedicated guest booking portal, flight research for you and your guests, ground transportation, RSVP and rooming list management, attrition and payment deadline oversight, and every guest question answered by our team across time zones rather than by you, before and through the wedding week.
What your guests pay. Their own rooms and flights, booked at the rates we negotiate. Your guests are never charged a planning fee to book through us.
What sits outside our fee. The wedding itself. Your ceremony, reception, food and beverage, and décor are contracted directly with the property, including at an all-inclusive, and are run on the day by the resort’s on-site wedding coordinator or your own planner. Bespoke owns every travel element around it and serves as the point of contact for you, your wedding party, and your guests from the first booking through the last flight home.

Yes. For clients who prefer to travel by private jet or charter, we coordinate private aviation as part of your overall itinerary. Private aviation is available for both domestic and international travel.
